All-inclusive IT support

Picture a joinery in the Mühlviertel with twenty-two staff: six office desks, a CAD workstation for design, a PC that feeds CNC programs to the machine, tablets on the workshop floor and bookkeeping in BMD that goes to the tax adviser every month. All of this is looked after by the owner's son, usually in the evenings and at weekends. Nobody is quite sure whether the NAS backup still runs, the Microsoft 365 licences stopped matching the headcount long ago, and each computer is configured slightly differently. With all-inclusive IT support we step in as your external IT department, working exclusively over remote connections for a flat monthly rate. Guaranteed response times form part of the agreement, what is covered is listed in an appendix, and anything extra is priced before work starts. The owner's son gets his evenings back, and IT stops being a side job.

The flat rate pays for ongoing operations: every recurring task that does not need a project of its own. The following areas are part of it, within the quantities agreed for your company.

Settle the details with an engineer

Uniform workstations

Every Windows PC and Mac is managed via Intune, so baseline settings, encryption, updates and software come from one place. New machines set themselves up through Autopilot the first time someone logs in, wherever the courier dropped them off.

Accounts and Microsoft 365

Creating and disabling accounts, groups, sharing, licences and multi-factor sign-in. New joiners find everything ready on day one; for leavers, access is closed that same day.

Servers and cloud services

Whether it is a file server on your premises, a VPS in a hosting facility or SharePoint, we watch storage, services and certificates and apply updates in set maintenance windows.

Firewall, Wi-Fi and VPN

Configuring and updating the firewall, access points and VPN remotely. If a device needs power-cycling or a cable moved, we talk one of your colleagues through it by video call or brief your electrician.

Backups with proof

Backup jobs checked daily, with periodic restores of individual files and entire systems. To us, a green tick in the software means nothing until the data has actually come back.

Renewals and contracts

Domains, SSL certificates, software maintenance, warranties and licence terms all sit in a shared calendar. You hear weeks in advance what is due to lapse and what renewing it would cost.

A named contact and a monthly summary

One person gets to know your business inside out. Every month a summary covers the tickets raised, how often we hit our response targets, where patching and backups stand, and what we advise doing next.

Getting from a first chat to quiet, steady operation normally takes a handful of weeks, always in the same sequence: see everything, fix what is risky, then keep it in shape.

Getting acquainted

A video meeting of about three quarters of an hour with whoever knows your systems best. By the end we understand users, systems and sore points, and can suggest a first figure for the flat rate.

Inventory via agent

We place a small management agent on computers and servers, with one of your staff installing it where needed by following our guide. Within days we have the full picture: devices, software versions, licences and accounts with admin rights.

Urgent fixes

Dangerous gaps come first: missing backups, unpatched systems, shared administrator logins, accounts of former staff still active. Every action gets a date.

Steady state

Requests flow through the agreed channels, maintenance happens in fixed slots, and once a month we sit down with management on video to walk through the summary.

Your documentation belongs to you. Many firms only discover when changing IT provider that passwords, network diagrams and licence keys exist solely in one person's head or on their laptop. With us, the complete documentation lives in a password vault and a wiki that your management can open at any time. Should you ever choose a different provider, we hand everything over in full and in readable form. That is not generosity; it is the basic condition for trusting us at all.

Start is priced from €890 per month plus VAT, covers a maximum of 10 users and promises a reply within 4 hours. Business costs €1,890 per month plus VAT and replies within an hour. Premium starts at €3,490 per month plus VAT, cuts the reply time to 15 minutes and adds a 24/7 on-call number. Rather than headcount, ask yourself what a morning of broken IT would cost.

No. Apply does not sell or rent out equipment. We suggest a model and configuration, you buy it from your regular supplier, and it is delivered to the office or to the employee's home address. On first start-up the machine fetches its settings, software and encryption automatically.

We do not visit; that is part of how we work. Simple tasks such as restarting a router or swapping a cable are carried out by one of your team while we coach them live on a video call. For cabling or installation work you engage your electrician or a local contractor, and we tell them exactly what needs doing.

Projects such as migrating every mailbox or setting up a new branch are quoted either as a fixed sum or at the hourly rate of €110 plus VAT, and nothing begins until you have signed off. Flat-rate work and project hours appear on separate lines in each monthly summary.

An electronic invoice arrives monthly, in ebInterface format if you wish, with 30 days to pay by bank transfer. Travel expenses never appear, since everything is done remotely. Billing queries can be sent to finance@apply.at.
