Picture a colleague whose first hours at work go on re-entering WooCommerce orders in the ERP, copying Austrian Post parcel codes into emails for buyers and correcting amazon.de stock figures manually. Sales are fine; the plumbing is not. Our job is to join up shop software, bookkeeping, payment services, parcel firms and marketplaces, so each purchase travels unaided from checkout to a posted invoice, carrying the correct VAT whether the buyer sits in Austria, Germany or another EU country. Everything happens remotely, for retailers from Vorarlberg to Burgenland.

Sync rhythm by data type

Real-time sync for everything sounds attractive and usually backfires: marketplace interfaces impose rate limits, and the ERP in the back office grinds. So every category of data gets a tempo of its own.

Sellable stock

Pushed out to every channel at intervals of 5 to 15 minutes. In the run-up to Christmas and Black Friday the cycle gets shorter and the reserve quantity grows.

Pricing and offers

A few runs daily, plus one whenever a campaign launches. Distinct price lists for your own shop, each marketplace and resellers, each with its own minimum.

Product copy, photos, attributes

Night-time only. Bulky transfers like these would drag down the machine hosting BMD or your merchandise system if they ran in business hours.

Orders

Handed to ERP and warehouse the moment payment clears. Something bought late in the evening sits in the picking list at opening time, untouched by human hands.

Invoice PDFs and parcel status

Returned to the storefront from bookkeeping and the courier. Buyers see both documents under “my orders”, and marketplaces get their dispatch notice within the deadline.

One integration at a time. Pick the process swallowing the most staff hours right now, which is nearly always passing orders to bookkeeping. Give it a fortnight or three weeks in daily use and iron out the problems. Stock sync with marketplaces, payment reconciliation and label printing come afterwards. Switch on four links simultaneously and the first glitch leaves everyone guessing at the cause, and your staff stop trusting the new set-up before it has proved its worth.

Step by step

All trials run in a separate test client of your bookkeeping software and in the sandboxes offered by payment and parcel providers. Errors in the productive ledger mean reversals, credit notes and a longer bill from your tax adviser.

Shadow a purchase

Taking one genuine sale, we follow it from checkout until the money is posted and note every spot where a person retypes, forwards or double-checks data today.

Tax rules signed off

VAT per destination, invoice numbering, partly paid orders, marketplace returns and the cash-register handover for click-and-collect, settled with your tax adviser and documented before we configure anything.

End-to-end rehearsal

A test purchase paid via eps and by card, then invoice, label, tracking, return and refund, all in sandbox mode. Production follows only when the numbers reconcile.

Launch and first-month checks

Sync schedules and alert emails go live, and for four weeks we set storefront data against the ledger once a week.

Frequently asked questions

Chiefly Shopware and WooCommerce, but also Shopify, Magento (Adobe Commerce) and JTL. If an official plug-in from the platform, the payment firm or the courier covers the requirement, we use it and code only the gaps. Home-grown shops are linked via their own API or via export files produced on a schedule.

Usually not, although it means more work than a cloud product would. Some older local versions offer no open interface at all. Then we fall back on the manufacturer’s connector, a middleware layer or timed file imports. Now and again an upgrade of the bookkeeping software is the cheaper path compared with engineering around its gaps; a remote look at the installation tells us which.

Sales continue against the most recent stock figure. Orders queue up and are delivered once the connection returns, so nothing is lost. Your designated contact and our team receive an alert by email. When the working week starts, the incident, the automatic catch-up and any leftover checks are already documented, well before a buyer thinks to ask.

That hinges on the number of systems, the state of your article data and whether suitable official plug-ins exist. WooCommerce plus RZL, eps and Austrian Post is a very different job from Magento plus BMD, several warehouses and a handful of marketplaces. You get a project quote once we have reviewed your set-up; later support runs at €110 per hour plus VAT or through a service plan.

Solely via encrypted remote sessions, using limited accounts that your side sets up and may switch off whenever it likes. There are no visits from us, no hardware sales and no parcel handling. Should a task at the server need physical hands, whoever is there receives a clear written walkthrough from us.
