A Styrian maker of conservatories hears from prospects through its website form, by email, through dealers, at a stand at the big home-building show in Graz and by phone, where someone scribbles a number on a pad. Each job requires a survey by the firm's own fitters, drawings, frequently a planning query with the authorities and a financing arrangement. Weeks, sometimes months, go by before a contract is signed. When no one can say which quote is where, interest quietly fades and the customer signs with whichever rival rang most recently. We recreate that path inside a CRM, so that each lead has a named person and a next date, quotes no longer disappear in someone's inbox, and on Monday management can see exactly how many projects are waiting at which point.

Branded templates carrying your terms, dispatched from the deal itself, signed electronically, with a qualified signature through ID Austria if required, and an alert the moment the prospect opens the document.

Handover to accounting and ERP

A won deal carries customer and order data into BMD, Business Central or Odoo with no re-keying, including a checked address and, for businesses, a validated VAT number.

No deal without a follow-up

The system will not let an open opportunity sit without a dated task. Miss the date and a reminder goes to the owner and their line manager.

Consent under the TKG and GDPR

Separate opt-ins for newsletters and WhatsApp promotions, logged with date and wording, a check against the RTR opt-out register for commercial email, and unsubscribes applied across every channel simultaneously.

Workshop

Two hours online with sales, back office and installation planning. The outcome is a sketch of the stages and a list of what to automate.

We configure the system, the team handles a few genuine leads entirely within it for a fortnight, and we fix whatever gets in the way day to day.

Quotes are rarely rejected; they are forgotten. In many firms hardly anyone says no outright; prospects simply go quiet. So the most effective CRM rule is almost trivial: each open opportunity has a next step with a date. Salespeople who are reminded without fail get back in touch before the competition does.

Frequently asked questions

Handing over a card does not amount to agreeing to promotional email. Austria's Telecommunications Act 2021 generally demands prior consent, with tight exceptions for existing customers. Replying to the actual question asked at your stand is of course fine. In the CRM such contacts are flagged so they are excluded from mass mailings until they opt in.

Whatever suits your way of selling: HubSpot, Pipedrive, Zoho, Odoo CRM, Microsoft Dynamics 365 Sales, or your existing system if it does the job. The recommendation follows your process, not commissions.

For two salespeople and ten live quotes it might do. Once several colleagues touch the same leads, reminders, history, clear ownership and evidence of consent start slipping through. A CRM closes precisely those gaps, and moving over is usually less painful than expected.

We favour vendors that store data inside the EU, and the data processing agreement is signed with the vendor in your company's name. We document which data is kept and why, ready for your record of processing activities.

Our time is charged at €110 per hour plus VAT, and you receive a quote once the workshop is done. CRM and WhatsApp API subscriptions are held by your company and paid straight to the provider.
