Backup set-up

A civil engineering practice in Innsbruck with nine staff: CAD drawings on the NAS, accounts in RZL, project email in Microsoft 365. For years everything has been copied to a USB drive permanently attached to the server. Whether a complete project folder could be brought back from it, nobody has ever checked. Plenty of businesses are in exactly this position. A backup exists, yet there is no answer to the two questions that count in an emergency: how much work is lost, and how long will operations stand still? Backup set-up starts with those two figures for every system. From them we derive a 3-2-1 design that respects statutory retention, flags failures and proves through real restores, again and again, that it works. Everything is configured remotely.

Inventory and targets

Where the data actually lives, from file server and NAS to notebooks, Microsoft 365 mailboxes, specialist applications and cloud services. Per system we agree the tolerable loss window and the maximum acceptable downtime.

3-2-1 structure

The original plus two backups, stored on two unlike types of storage, with one kept at a separate location. On top comes an immutable or offline copy that malware has no path to.

Retention and deletion

Under the Austrian Federal Fiscal Code (BAO), books, records and receipts must generally be kept for seven years. At the same time the GDPR says personal data should not be stored longer than necessary. We plan retention tiers that satisfy both.

Cloud services included

Exchange Online, OneDrive, SharePoint, Teams and their Google Workspace counterparts are protected with a dedicated tool. The provider keeps the service running, but under its terms recovering deleted or encrypted data is usually your responsibility.

Separate credentials

The backup system gets its own accounts with multi-factor sign-in, not tied to your company directory. An attacker holding a stolen admin account therefore cannot wipe the backups.

Monitoring

Failed or missing jobs alert a named person in your business and us. Silence counts as an error: no report means something is broken.

Restore tests

Scheduled recovery of single files, a database and a full server, documented with date and stopwatch time, serving as evidence for insurers, auditors or the data protection authority.

We recover a complete system and time it. That figure becomes your proven recovery target.

Seven years of retention does not mean seven years of daily backups. The BAO obligation covers books and receipts, not every state of every server. Keeping everything daily for seven years means paying for storage nobody needs and holding on to personal data that should have gone long ago. A tiered model works better: daily copies for a few weeks, monthly ones for a year and a yearly immutable archive of the accounts for the statutory period.

Frequently asked questions

As often as you can afford to lose work. For month-end accounting or a shop database that may be hourly; for a project archive once a day is enough. We set this per system instead of treating everything alike.

The alert goes out immediately. When we act depends on your plan: within standard hours, Monday to Friday 8:00-17:00, or at weekends too with Premium. Crucially, thanks to multiple retained copies, a single failed run leaves no gap.

No. We choose per environment: Veeam is a common fit for virtualised servers, the backup suite built into an existing Synology NAS can be enough for small offices, and Microsoft 365 gets a specialised product. No vendor pays us for recommendations.

Yes. The regulation expects organisations to be able to bring personal data back quickly after an incident and to check their safeguards at regular intervals. Restore reports are exactly the kind of evidence that shows this.

We bill €110 per hour plus VAT, or the work falls under a Start, Business or Premium plan. Licences and storage appear as separate items in the quote. The NAS is your purchase, based on our specification; a colleague plugs it in with the help of a picture-based checklist, and every further step is done by us over remote access.
