Virtual workplaces and VDI

Think of a Vienna law firm with twenty-five people, half of them working from home on a regular basis. Downloaded case files sit on every laptop, the practice software is only reliable on the office network, and a newly recruited trainee lawyer spends two days waiting for a usable machine. Virtual workplaces reverse the logic. Windows and all applications live in a data centre, and the laptop does nothing more than show the picture. Files stay inside the data centre, a stolen notebook exposes nothing, and a fresh desk can be ready the same afternoon. We plan the environment, build it and operate it on an ongoing basis, entirely at a distance. First, though, we weigh it honestly against new laptops or a conventional terminal server, because six people sharing one application rarely need VDI.

How many users, and when

Who works at the same time, and who only occasionally? Large numbers of simultaneous users favour shared hosts with Windows multi-session; a handful of very different profiles often suits one Windows 365 cloud PC each.

Applications and their quirks

Specialist software with a local database, hard-coded drive letters, licence dongles on a USB port, Outlook add-ins. Every program is test-run before any date is fixed.

Where the data lives

Microsoft Azure using EU regions, or a terminal server with Exoscale in Vienna, Anexia, Hetzner or IONOS. We record which data is held where, ready for your record of processing activities.

Licences you already own

Microsoft 365 Business Premium and E3 currently include usage rights for Azure Virtual Desktop; a self-run terminal server requires RDS CALs. Our figures start from what you are already paying.

Devices and peripherals

Laptops, thin clients or personal machines, along with printers, scanners, signature pads and headsets. Whatever is attached at the office desk has to work inside the virtual session too.

Temporary desks

Seasonal staff at a Tyrolean hotel, project contributors, external auditors: access for a few weeks or months that disappears without trace afterwards, with no hardware to recover.

Life after go-live

Monthly refresh of the master image, cost control through schedules and budget alerts, account creation and removal, and help for users.

Our working method

With twenty to thirty users, expect four to six weeks from the first conversation to the end of the final migration wave.

Monthly cost per user compared with new laptops and with a terminal server of your own. If the numbers do not stack up, we say so and stop there.

Trial with real software

A small environment in which five to eight volunteers do their normal jobs for two weeks. Printer and add-in problems surface precisely at this stage.

Migration in waves

Department by department, with FSLogix profiles, conditional access policies and client deployment through Intune. Nobody loses their familiar setup overnight on a fixed date.

Ongoing operation

Patching, user support, profile backups and a monthly summary of usage and spend.

A virtual desktop left running overnight burns money for nothing. Cloud capacity is billed by the hour. Hosts that fail to power down in the evening push the invoice up noticeably without a single extra minute of work being done. We configure schedules and budget alerts from the start, and the monthly report highlights exactly where idle time occurred.

Frequently asked questions

Not always. For six people using one program, well-managed laptops are usually cheaper and simpler. It starts paying off with widespread home working, sensitive data, frequent staff turnover or specialist software that only runs reliably on the office network.

The session carries on in the data centre. Anyone able to can reconnect via a mobile hotspot or from home and resume exactly where they left off. We would still advise a second line at the office, for instance over 5G.

Technically yes, since no data ends up on the device, and copying, printing and local saving can all be blocked. From an employment law angle, it should be covered in the written telework agreement Austrian law requires, including reimbursement for the use of private equipment.

With Teams media optimisation, sound and video go straight from the user's device to Microsoft instead of passing through the host. Without it, calls stutter, which is why it is part of our standard configuration.

Project work is charged at €110 per hour plus VAT, or on the basis of a quote built on the business case. Cloud capacity and licences are paid directly to the respective provider, and our operation monthly. All three items appear separately.
