AI strategy

Consider a plumbing and heating wholesaler in Vienna with 70 staff. Three different chatbots circulate in the sales office, the web shop needs better product copy, purchasing dreams of automatic reorder suggestions, and management heard about the AI Act on the radio. Each idea may have merit. Put together, though, they form a wish list competing for the same people and the same budget rather than a direction. An AI strategy turns that list into a sequence. We establish where your business stands on data, tools and know-how, score every idea for value, feasibility and risk, agree rules for working with AI and plan the next 12 to 24 months so that each step builds on the one before.

Everything this covers

You receive a working basis for decisions, not a slide deck about trends. It contains these components.

Settle the details with an engineer

Maturity check

How clean is your master data, which programs offer interfaces, what skills exist in the team? An item master full of duplicates or customer data kept in spreadsheets shifts priorities considerably.

Surfacing shadow AI

An anonymous survey shows which tools are already in use and with what data. The aim is not policing but an honest baseline.

Scored idea list

Each use case is rated for benefit in hours or euros, technical feasibility and legal risk. The result is a ranking you can justify.

Legal framework

Which ideas touch the GDPR most and which might fall under the EU AI Act, including the duty to ensure adequate AI literacy among staff. The AI service desk at RTR is a sensible first port of call. We do not produce legal opinions.

Build, buy or use existing licences

The answer is often already inside Microsoft 365, Google Workspace or your ERP. We weigh that honestly against specialist products and custom development.

AI policy and responsibilities

Which tools are permitted, which data is off limits, who approves new tools and whom staff can turn to with questions.

Roadmap with budget

Stages of three to six months, estimated costs, the internal people required and decision points where management chooses the next move.

Our working method

We set the scope in advance based on the areas involved. Workshops are short and online so the business keeps running.

01

Target picture

A session with management: what should AI do for the business in two years, and what must it never do?

02

Stocktake

Survey, conversations with each area and a review of data and software.

03

Scoring workshop

Together with department heads we rate the idea list and drop what will not carry weight.

04

Roadmap and policy

Delivery of the roadmap, the AI policy and the first three concrete steps.

Banning chatbots is not a strategy. Prohibiting AI at work without offering an approved alternative pushes usage onto private phones and personal accounts, where nobody can see what customer data ends up there. A sanctioned tool with clear rules, training and a go-to person works far better. It lowers the risk and makes usage measurable in the first place.

Frequently asked questions

Management for the target picture and budget, one person from each affected area and, if you have them, someone from IT or data protection. For most participants the time commitment is only a few hours.

If you have one, we strongly recommend it. AI tools can affect workflows and the analysis of performance data. What co-determination rights apply is for your legal adviser to clarify. We provide material for an early conversation.

That depends on the specific use. Many internal applications carry modest obligations, while others, such as certain recruitment uses, may be classed as high risk. AI literacy among staff concerns every organisation using AI. We flag what deserves legal review; the verdict rests with your legal adviser.

The principles and the scoring method last; the specific choice of tools does not. We suggest a brief annual review so that new options and changed prices are taken into account.

After the target-picture session you receive a quote based on €110 per hour plus VAT. The price depends mainly on the number of areas and interviews.
