VoIP and Teams calling

A joinery in the Mühlviertel with 18 staff: the owner is often out at customers' homes with the fitters, one person covers the office in the morning and nobody in the afternoon. Incoming calls hit a fifteen-year-old phone system that needs a technician for every change. How many jobs are lost to missed calls, nobody knows. With a cloud phone system or Teams Phone, the company number rings wherever someone is available: on a laptop, in an app on the work mobile or on an IP handset in the workshop. We handle planning and configuration remotely, from choosing platform and carrier to coordinating number porting, designing call flows and training the team. You buy the handsets yourself from our list; mounting and cabling are not part of our service.

Everything this covers

We begin by looking at how calls arrive today and where they get lost. Platform and call flows follow from that.

Settle the details with an engineer

Teams Phone or a standalone system

If you already work in Microsoft 365, Teams Phone via Operator Connect or Direct Routing is often the obvious choice. Otherwise a standalone cloud phone system with an app and web portal tends to be simpler and cheaper.

Number porting

Main number, direct dials and company mobiles move to the new carrier. We check the paperwork beforehand and schedule the switch for a quiet time.

Call flows

Greeting, menu, ring groups that ring together or in turn, forwarding to the on-call mobile, voicemail delivered by email and a calendar for public holidays and company shutdowns.

Resilience

If the office internet fails, the cloud system diverts to mobiles automatically. We define those rules and test them before the switch.

Recording and data protection

Calls are recorded only for a clear purpose, with a notice at the start, a fixed retention period and restricted access. Where a works council exists, it should be involved early.

Handsets and CRM

You purchase phones and headsets from our compatibility list and we provision them remotely. If you like, the customer record opens in HubSpot, Pipedrive or Salesforce as a call comes in.

Our working method

For 10 to 30 people the switch usually takes three to four weeks, mostly because of porting.

01

Current state

Bills, contracts, number list and existing call routing. A line paid for years and never used often turns up along the way.

02

Design

Platform, carrier, call flows and handset list, agreed with you in a video meeting.

03

Pilot

A few people use the new platform with a temporary number until flows and devices are right.

04

Cut-over

Porting on the agreed day, tests of every call path and a short training session over Teams or video.

A porting request often fails over a single letter. If company name, address or account holder on the request do not match the old carrier's records exactly, it is rejected and the date slips by weeks. We compare these details with your latest bill before the request goes out.

Frequently asked questions

The phone system keeps running in the cloud. Incoming calls are diverted to mobiles according to set rules until the line is back. That is one of the biggest advantages over an on-premises system.

Mobile numbers typically move within a few working days; landlines take longer depending on the carrier. Until the agreed date your existing lines work normally. Only cancel the old contract once porting has completed.

Emergency calls must work on the new platform as well. We register the correct site address for each line and check the settings against the carrier's requirements. For alarm systems or lift emergency phones, please ask the respective service company which type of line they need.

A voice call needs roughly 100 kbit/s, which is very little. A stable line with low packet loss matters more. We check this beforehand and prioritise voice traffic in the router or firewall where needed.

No. We work exclusively remotely and configure platform, accounts and devices from a distance. Your team unpacks and plugs in following our guide; any cabling is done by a local IT partner or electrician.
