Server administration

A civil engineering practice in Innsbruck with fifteen staff will typically own three servers, only one of which anybody consciously bought. There is the file server holding drawings and project folders, a small box running the licence server for the CAD package, and a Linux VPS hosting the website plus a download area for building owners. While all three behave, nobody thinks about them. Then one Monday the TLS certificate expires, the licence server refuses to start after an update, and half the office cannot draw. Server administration, as we see it, means preventing those Mondays in a planned way: a calendar for patches, certificates and licences, monitoring that raises the alarm early, and a run book describing how each server is built. All of this is done remotely, whether the machine sits in a rack in your office or in a data centre in Austria or elsewhere in the EU.

Settle the details with an engineer

Inventory and run book

For every server: purpose, operating system, installed services, dependencies, access details and end of vendor support. The run book is updated with every change and lives in your SharePoint or wiki.

Patching with a test group

New updates go to a less critical machine first and reach the important ones only after a few days. Each intervention is preceded by a snapshot or a fresh backup, so there is always a way back.

Expiry dates tracked

TLS certificates, domain renewals, software maintenance, hardware warranties and licences for specialist applications all sit in one calendar that reminds both us and you in good time.

Monitoring

Disk space, services, event logs and response times, with thresholds tuned to how your business runs, so that an alert means something instead of drowning in noise.

Careful Linux care

SSH with keys only, unattended security updates where they are harmless, and manual upgrades for PHP, the database and the web server wherever a new version could break the application.

Restore testing

Once a quarter we restore something from backup for real, perhaps a project folder or an entire database, and record how long it took.

Capacity planning

We watch how fast disks and databases grow and tell you six months ahead when space will run short, rather than on the day it fills up.

Our working method

After onboarding, administration runs either as part of a service plan or on a time basis at €110 per hour plus VAT.

Takeover

Personal admin accounts, access via VPN with a second factor, all old passwords changed and stored in a shared password manager.

Initial review

Health, pending updates, backups and risks. Anything urgent is fixed at once; everything else goes into a prioritised plan.

Run book and calendar

Within the first weeks every server is documented and all dates for patches, certificates and licences are entered.

Ongoing operation

Fixed maintenance windows, a monthly report and a short quarterly video call with management.

Most server outages announce themselves. A certificate expires on a date known months in advance, a disk reports read errors weeks before it dies, a database grows steadily towards its limit. Collecting these signals and putting them in a calendar removes a large share of emergencies. That unglamorous work is the heart of what we do.

Frequently asked questions

Server administration covers your servers and the services on them. Workstations, printers and staff requests are outside its scope. Many firms with an in-house IT person choose exactly that split: the colleague on site looks after people, we look after machines.

We do not come to you. A failed disk or power supply is swapped by the manufacturer under warranty, by your reseller or by someone on your team following our step-by-step instructions. We prepare everything, stay on a video call during the swap and check afterwards that the system is healthy.

Our service hours are Monday to Friday, 8:00-17:00 Austrian time. Response time depends on the plan: four hours on Start, one hour on Business and 15 minutes on Premium, which also includes cover outside those hours.

Mainly Debian, Ubuntu LTS and the Red Hat family such as AlmaLinux and Rocky Linux. With unusual or end-of-life releases we tell you plainly what we can do and plan the upgrade path.

No. We look after servers in your office just as readily as those at Exoscale, Anexia, Hetzner, IONOS or in an EU region of Azure or AWS. If we recommend a move, we justify it in terms of cost and risk.
