Website maintenance

A website left without maintenance does not break all at once. It decays quietly. An outdated plugin opens a hole, the host retires an old PHP version and a feature stops working, the certificate expires on a Saturday, form messages start landing in spam. Nobody notices until a customer mentions it. Suppose a dental practice in Linz moves its email to Microsoft 365. The booking form on the website still sends through the web server, which is missing from the SPF record of the domain. The messages get rejected, and for four months no online appointment requests arrive without anyone realising. Maintenance means checking every month precisely what nobody else looks at.

Tested updates

Core, plugins, themes and extensions are updated on a copy first. We check forms, basket and mobile view, and only then roll the changes out to the live site.

Backups that are tested

Daily backup of files and database to separate storage in the EU, retention as agreed and a trial restore once a quarter.

Monitoring

Availability checked every minute, SSL expiry, disk space, load time and file changes that may point to an attack. We are alerted immediately when something looks wrong.

Form delivery

Regular test messages through every form and checks on SPF, DKIM and DMARC, so enquiries keep arriving after changes to your mail set-up.

Server and PHP version

We track supported versions and plan the upgrade before the host switches one off and the site fails unexpectedly.

Small changes

New opening hours, an extra team member, a swapped image or a note about holiday closures. Requests like these are handled within the agreed block of hours.

Before taking a site into maintenance we get a clear picture of its condition. Only then is it clear what a month of maintenance actually involves.

Takeover review

Via remote access we check versions, plugins, accounts, backups, hosting and mail settings, and list what needs doing straight away.

Clean-up

Overdue updates are applied, orphaned plugins and admin accounts of former staff removed, and backups and monitoring put in place.

Ongoing operation

Monthly updates in the agreed maintenance window, daily backups, monitoring and small changes handled when you send a request to our team.

Annual review

Once a year a video call on the condition of the site, load times, upcoming version changes and whether the site still fits your business.

Automatic updates are not maintenance. They stop a site from falling behind, but nobody checks afterwards whether the basket, forms and mobile view still work. An update to a form plugin can silently stop outgoing mail without a single error message appearing. So we update a copy first, test the key functions and only then apply the changes to the live site.

Frequently asked questions

Yes. We begin with the takeover review and tell you honestly what state the site is in. If it is badly out of date, we first discuss whether repairing it is still worthwhile.

Mainly WordPress, WooCommerce, Shopware and TYPO3, as well as sites built on common PHP frameworks. On hosted platforms such as Shopify we manage apps, theme and content, while the vendor updates the platform itself.

Because we take a backup and test on a copy first, that is rare. If it does happen, we restore the previous state and fix the issue before updating again.

It depends on the system, the number of extensions and the block of hours you want for changes. After the takeover review you receive a monthly quote. Work beyond the agreed hours is billed at €110 per hour plus VAT.
