Think of a Tyrolean hotel employing twenty-five people over winter and twelve over summer. Booking requests arrive at an address only ever opened on the front-desk PC, the owner handles group enquiries from her private mailbox, and each season newcomers inherit the previous person's password scribbled on a note. The seminar room is reserved in a paper diary, and some time ago guests received a forged booking confirmation with different bank details that looked as though the hotel had sent it. Arrangements that have grown up like this are common across small and mid-sized firms. Well-configured business mail gives every person an address on the company domain, lets whole teams work from one shared inbox, joins up diaries with room booking and, most importantly, shields the domain so that nobody can write in your name.
Before adding SPF, DKIM and DMARC we trace everything that currently sends as your domain: bookkeeping, newsletter tool, web form, booking system, multifunction printer. Skip this and precisely those messages end up in spam later.
Team inboxes
Addresses such as office@, bookings@ or orders@ worked on by several people, with one shared history and a clear record of who dealt with each message.
Diaries and bookable resources
Team calendars, availability shown when inviting through Teams or Google Meet, and resources such as the seminar room, pool car or loan laptops that can be reserved.
Bringing old mail across
All previous messages, including folders and attachments, move from your web host, Gmail or an in-house mail server. Incoming mail continues to flow throughout.
Retention and archiving
Rules that prevent messages disappearing when someone empties the bin, which helps with complaints, disputes and emails that serve as business records and must be kept.
Managed phones
Mail and calendar on company or personal handsets, controlled through Intune: screen lock, encryption and remote removal of just the work data if a phone goes missing.
Starters, leavers, seasonal staff
Accounts held in Entra ID or the Google directory, compulsory second factor and a fixed routine for arrivals and departures that copes with lots of short contracts.
Our working method
For ten to thirty people the changeover generally wraps up within one to two weeks, and not a single message goes astray along the way.
01
Survey
Who uses which address, which aliases and domains exist, how much old mail sits where, and what retention rules apply in your line of business.
02
Set-up
Platform, accounts, groups, team inboxes, retention rules and two-factor sign-in ready to go, with the DNS changes prepared but not yet switched on.
03
Switch day
Old mail copies over in the background and the MX record flips late in the afternoon. A follow-up sweep the next morning picks up anything that still reached the former host.
04
Onboarding
We configure Outlook and phones remotely, then run a thirty-minute video introduction and hand out a two-page cheat sheet.
Invoice fraud feeds on domains without DMARC. Lacking it, anybody can send messages that seem to originate from your accounts office or reception, attaching a convincing invoice with a fresh IBAN. We tighten DMARC step by step: observe first, then send suspicious mail to quarantine, and finally reject it outright. Forgeries get stopped while your genuine mailings, the newsletter or booking confirmations for instance, keep arriving.
Frequently asked questions
Teams that already rely on Excel, Teams meetings, BMD, RZL or Business Central are usually better off with Microsoft 365. If nearly all your work happens in a browser and you want things as simple as possible, Google Workspace serves well. We support both and check what EU data storage options your subscription includes.
Of course. The domain stays with your registrar and we only adjust the DNS entries required. If it is still sitting in a former agency's account, we help you reclaim it so it is registered to your company.
Microsoft currently offers so-called frontline licences for staff who mainly work on phones or shared devices, at reception or in the restaurant, say. Whether they cover your processes depends on what those people actually need, and we check that with you. Team inboxes like office@ usually need no licence of their own, as long as they stay within the storage limit Microsoft sets.
On their final working day the account is locked and the mailbox becomes a shared one that their successor carries on using. For that to be sound under data protection law, the rule should be laid down beforehand in an email usage policy.
